Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. This role involves managing daily administrative tasks, providing exceptional customer service, and ensuring smooth office functionality. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management or clerical roles. Bilingual proficiency is a plus. Duties
Manage front desk responsibilities, including greeting visitors and directing calls
Operate multi-line phone systems with professionalism and courtesy
Handle data entry, filing, and document proofreading to ensure accuracy
Maintain calendars and schedule appointments using Microsoft Office and Google Workspace tools
Assist with bookkeeping tasks using QuickBooks or similar software
Support office management activities such as supply ordering and inventory tracking
Provide customer support via phone, email, or in person, ensuring excellent service standards
Perform general clerical duties including typing, photocopying, and organizing documents
Coordinate meetings and prepare necessary materials for staff or client engagements
Support personal assistant tasks as needed, including travel arrangements and correspondence
Skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Strong organizational skills with the ability to prioritize tasks effectively
Excellent phone etiquette and customer service skills
Experience with office management, data entry, filing, and proofreading
Familiarity with QuickBooks or bookkeeping software is desirable
Ability to handle multi-line phone systems efficiently
Bilingual abilities are preferred to assist diverse client needs
Strong computer literacy and familiarity with office equipment
Effective time management skills to meet deadlines in a fast-paced environment
Previous experience as an administrative assistant, receptionist (medical or dental), or personal assistant is advantageous
